How to Respond to Negative Google Reviews (With Examples)

A one-star review stings. The urge is to fire back, explain, or ignore it and hope nobody notices. All three cost you customers. Future customers read your reply more closely than the review itself, because it shows how you treat people when something goes wrong.

The 5 rules for replying

  1. Reply within a day or two. A fast reply shows you're paying attention.
  2. Stay calm and short. Three or four sentences is plenty. Never argue in public.
  3. Thank them and use their name. It sounds human, not like a form letter.
  4. Take it offline. Give a phone number or email so the details get handled privately.
  5. Never share private details. Don't mention account numbers, medical or payment information, even if they did.

Example: a service complaint

Hi Maria, thank you for letting us know, and I'm sorry your visit wasn't what you expected. That's not the experience we want anyone to have. Please call us at [number] and ask for [manager] so we can look into it and make it right.

Example: a complaint about price or billing

Hi James, thanks for your feedback. We want every customer to understand their charges clearly, and we'd like to review your account with you. Please reach out at [email] and we'll go through it together.

Example: a review from someone who was never a customer

Hi, we take every review seriously, but we can't find a record of a visit under this name. If you did work with us, please contact [email] so we can help.

Then report the review to Google if it breaks Google's content rules, for example if it's fake, off-topic or from a competitor.

What not to do

  • Don't offer refunds or discounts in the public reply. Handle that privately.
  • Don't call the reviewer a liar, even if they're wrong.
  • Don't copy and paste the same reply on every review. Shoppers notice.
  • Don't ask them to remove the review in exchange for anything.

When reviews are piling up

If you have dozens of unanswered reviews, or complaints repeating across Google, Yelp and BBB, it's time for a system, not just better replies. That's exactly what our reputation management service is built for.

Reviews piling up?

We answer reviews in your voice, flag anything serious to you right away, and track which complaints keep coming back so you can fix the cause.
